I had just started my job as an EA to Varun at Clay and I made a huge mistake. I called my mom and she started laughing hysterically! Why? I was telling her about the consequences of me missing a detail on a calendar invite. She’s heard this story before, and she thinks it’s hilarious that her creative, sensitive, chaotic daughter continues to choose a career where numbers, dates and attention to the tiniest details are the most crucial elements of my day-to-day. For context, I have ADHD. I forget things frequently and I can be totally time-blind. I’ve been this way since I was a kid, and the irony is not lost on my mom. I’m also the EA to the co-founder of a $3B startup and have 6 years of proven EA/PA experience for UHNWI’s. My livelihood literally depends on logistics and it’s the opposite of what my brain is wired for. So how did I get here? Hard work, compassion for my own humanity, yes, but the #1 thing that makes it possible is my EA techstack. Here are the AI tools I use every day to morph my big beautiful spaghetti brain into a precision-tuned ops machine: Vimcal EA - I’m beyond grateful for this tool. It works so well for visual learners like me. Their ‘slots’ feature is the only reason I can keep up with scheduling 50+ meetings/week. Shout out to Johnny Wu’s LinkedIn video for showing me what was possible right as I started at Clay. Superhuman Mail - Easiest way to speed up your inbox clearing time overnight and start using keyboard shortcuts. Auto-drafts replies so you never miss a followup. Clay - DUH! For my onboarding project, I built a table that found the Whatsapp #’s for every single GM from a particular hotel chain we’re fond of and generated a personalized message to that GM matching my exec’s hobbies with recent property news. That’s just the start. I’ve got briefing generators, a C-Suite CRM, and so many seriously creative workflows in Clay. Clay for EA’s is a secret weapon. Notion AI - I can build a table (for example a flight credit tracker) and then tell my little AI agent ‘add this flight credit to my table’ and upload a PDF to the chat. No manual data entry or flicking back and forth between tabs copying, pasting, reformatting, etc. For my scattered brain this is magic and means I actually track things consistently. Zapier - Endless possibilities. I have a Zap set up right now so that whenever Varun records a dictation on his phone, it creates a task in Asana. Props to Mindmaven for that one! It can be lonely out here as an EA when you’re essentially a team of 1. I don’t see a lot of workflows or actionable hacks from other EA’s, so I thought I would share. Let's talk about impostor syndrome and my own experience with it. In early 2024, Clay was growing quickly and I started questioning why I was leading the GTM functions. Many talented executives wanted to work with us. Shouldn't we hire them? And if we did, why should they report to me? What could I possibly teach them? What was I even contributing? More importantly: was I putting my own ego and ambitions ahead of the interests of the company? Eventually, I went to my co-founder Kareem. I told him that I wasn't the right person, I'm happy to do whatever we needed, and let's go find the right leaders. I was completely at peace with it. So we interviewed candidates. Spent real time with them. All incredibly impressive, with strong track records, but ultimately we realized they weren't the right fit. We still needed the unique alchemy that got us here for our next leg of the journey. And an insight from my friend Oliver J. helped me understand that I'm not supposed to teach marketing to a CMO, but rather help them get more done in the organization I know best and stay authentic to Clay's approach. Because that authenticity is actually what marketing is all about. I shared this story with the Clay team recently because I wanted them to understand something crucial about their own journeys here. I know many of them feel impostor syndrome -- not a surprise when dozens are doing their role for the first time. You need to understand what makes you specifically valuable in this role. What uniqueness do you bring that no one else does? And at the same time, you have to stay unattached enough to keep asking: am I still the right person to do this job? Is this role still the right fit for me and the company? You can't answer that honestly if your ambition and ego is in the way. Success starts with letting go. Earlier this week, The Kiln was acquired by 2X -- one the world's largest B2B marketing-as-a-service firms. Patrick Spychalski and Mathias Powell founded the The Kiln in 2023. In ~2 years, they've scaled it into one of the top Clay agency partners. Now, they're joining forces with 2X to expand their MaaS offering to GTM orchestration. We've known Patrick and Mathias are exceptional builders (they often work out of our offices!). But this is tangible market validation in 2 ways: 1) The Kiln scaled incredibly fast without sacrificing the strength and durability of their business. 2) The market demand for centralized GTM orchestration is ever increasing -- enough to justify M&A.
