DESCRIPTION The Related Art
The invention relates to a mobile branch system in the field of logistics, ensuring collection, from vendors of corporations, of physical documents such as subscription agreements and membership procedure documents, and then error-free sorting and monitoring thereof.
Background of the Invention
It is of great importance for corporations to transport subscription agreements, membership procedure documents etc. documents correctly and in time to desired places, and to be able to monitor the outcomes of the transported documents.
Logistic companies perform the operation of collecting and transporting said documents to desired places. One of the most significant problems encountered in logistic companies is misplacing, into wrong document bag, the documents that are required to be collected, or not placing the same at all.
And after the documents are transported; since the delivery documents, containing information about which documents and how many documents are given by the vendors, are prepared manually, the delivery documents are not reliable, are hard to found during a search as a result of being physical documents, and cannot be found at all as a result of being thrown away as useless document.
Therefore, a system, which allows control and monitoring of documents from the initial moment of collection to the delivery, and even to archiving after the delivery, is not found.
Said logistic company field staff has daily plans that determine which companies are to be reached for collection or distribution within the day, and they cannot go out of this plan. In case of an urgent document, they can be called from the headquarter and guided for receiving the relevant document. Most of the time, it is not known by the headquarter where the field staff is or if the field staff is following the daily plan or not, and therefore problems are encountered in directing the right personnel to the relevant place.
In the literature, about the European patent application No. EP1409160B1 , below given expressions are disclosed: "A method for conveying postal parcels, characterized by the steps of: determination of whether a postal parcel is intended for en electronic parcel compartment system, determination of whether several postal parcels are to be delivered in the same parcel compartment system, placement of the determined postal parcels into shared transportation containers that are each intended for the same parcel compartment system, transport of the shared transportation containers to the electronic parcel compartment system, whereby the conveyance is controlled remotely and/or by a computer program at least over certain segments and at least partially in tunnel systems, distribution of the postal parcels among different parcel compartments of the electronic parcel compartment system." In said application, a system for postal deliveries is disclosed, which allows controlling postal deliveries via short distance remote control. However, said application has not eliminated the problems encountered due to the prior art deficiencies or errors. Also, the European patent application No. EP1421537B1 , titled "A mechanism and a method for sending transportation of postal packages". In said application, a system for postal deliveries is disclosed, which has a structure allowing changing the delivery address or time, in case of a change in the delivery address occurs. However, said application has not eliminated the problems encountered due to the prior art deficiencies or errors.
As a result of the above given reasons, need has occurred for a novel mobile branch system.
Description of the Invention
From the known status of the art, the purpose of the invention is to provide a mobile branch system which eliminates the prior art drawbacks.
Another purpose of the invention is to provide a system which allows receiving the correct documents from the correct address and delivering the same to the correct address.
Another purpose of the invention is to provide a system which prevents placement of deficient or wrong documents in the delivery bags.
Another purpose of the invention is to allow performing post collection and delivery in a much shorter time.
Another purpose of the invention is to provide a system comprising a confirmation mechanism by which companies confirm the number, type etc. information of the documents sent or received by the companies.
Another purpose of the invention is to provide a system which allows the field staff to work in a more effective manner. Another purpose of the invention is to provide a system which ensures that the field staff is affected minimally from the route changes made within the day.

If the barcodes of said document bag (3) and the document (5) are not matched by the barcode reader (4), the headquarter (8) does not give confirmation to the field staff (1 ), via the mobile device (6), about placing the relevant document (5) in the relevant document bag (3), but gives a warning message (132), via the mobile device (6), to indicate the wrong document (5).

The headquarter (8) requests (160), from said branch (2), the electronic confirmation showing the number and types of documents (5) delivered, via the confirmation and tracking device (7), and the branch (2) gives (170) the electronic confirmation showing the number and types of documents (5) delivered, via the confirmation and tracking device (7).
In this way, a system is provided, which does not allow the field staff (1 ) to place a document (5) into a wrong document bag (3), and which prevents starting to work on a second document bag (3) before the work of a document bag (3) is finished. At the same time, the branch (2) can perform this delivery operation when suitable. It minimizes the loss of manpower, as the headquarter (8) can determine the field staff (1 ) who is closest to the region and has the most suitable working capacity. In a preferred embodiment of the invention, said confirmation and tracking device (7) can be a computer or a mobile device (6). Therefore, said branch (2) can perform the operations of approving/confirming the document (5) delivery information or the monitoring/tracking operation of the field staff (1 ) through both devices.

The invention is a mobile branch system in the field of logistics, ensuring collection, from branches (2) of corporations by the field staff (1 ), of documents (5) such as subscription agreements and membership procedure documents, and then error-free sorting and monitoring thereof, and it is characterized in that; it comprises the operation steps of: said branch transmits (10) notification about document (5) delivery to the headquarter (8) via the confirmation and tracking device (7), said field staff (1 ) goes (100) to the branch (2) in order to receive the documents (5), the documents (5), previously sorted by unique barcodes, are given (1 10) to the field staff (1 ) by the branch (2), said field staff (1 ) scans (120), via a barcode reader (4), the document bag (3) previously sorted by unique barcodes, said field staff (1 ) scans (130), via the barcode reader (4), the documents (5) previously sorted by unique barcodes, if the barcodes of said document bag (3) and said document (5) are matched by the barcode reader (4), the headquarter (8) gives confirmation (131 ) to the field staff (1 ), via a mobile device (6), about placing the relevant document (5) in the relevant document bag (3), if the number of scanned barcodes reach the number of documents (5) to be placed in the predetermined document bag (3), the headquarter (8) sends a notification message (140) to the field staff (1 ), via the mobile device (6), to close the document bag (3), for the group of completed documents (5), said field staff (1 ) closes the document bag (3) containing the documents (5), and then notifies (150) the headquarter (8), through the mobile device (6), that the closing operation is completed with the barcode reader (4).

The mobile branch system according to Claim 1 , and it is characterized in that; it comprises the operation step of the headquarter (8) not giving confirmation to the field staff (1 ), via the mobile device (6), about placing the relevant document (5) in the relevant document bag (3), if the barcodes of said document bag (3) and said document (5) are not matched by the barcode reader (4), but giving a warning message (132), via the mobile device (6), to indicate the wrong document (5).

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said headquarter (8) requesting (160), from said branch (2), the electronic confirmation showing the number and types of documents (5) delivered, via the confirmation and tracking device (7).

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said branch (2) giving (170) the electronic confirmation showing the number and types of documents (5) delivered, via the confirmation and tracking device (7).

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of the headquarter (8) receiving said request notification from the branch (2) determining (1 1 ) the field staff (1 ) who is closest to the branch (2) and has the most suitable work capacity.
6. A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of the headquarter (8) determining (12) the information on what day and what time the suitable field staff (1 ) can go to the branch (2).
7. A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said information being transmitted (13) by the headquarter (8) to the branch (2) via the confirmation and tracking device (7).

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said branch (2) approving (14), via the confirmation and tracking device (7), if the time information about the suitable field staff (1 ) is also suitable with the branch.

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said branch choosing, via the confirmation and tracking device (7), another suitable day and hour determined by the headquarter (8), in case the time information about the suitable field staff (1 ) is not suitable with said branch (2), and then notifying (15) the headquarter (8).

A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said headquarter (8) guiding (16) the field staff (1 ) through the mobile device (6) so that the field staff (1 ) goes to the branch (2) on the day and hour suitable for the branch (2).
1 1 .A mobile branch system according to any one of the above given claims, and it is characterized in that; it comprises the operation step of said branch (2) monitoring (17) the instant location of the arriving field staff (1 ) through the confirmation and tracking device (7).
12. A mobile branch system according to any one of the above given claims, and it is characterized in that; said confirmation and tracking device (7) is a computer.
13. A mobile branch system according to any one of the above given claims, and it is characterized in that; said confirmation and tracking device (7) is a mobile device (6).
