Recruitment portal

The scenario is real. The specifics are invented, and the assignment is deliberately incomplete.

Nothing exists yet. You are not working around our platform, our data model or our history. You choose the solution, as long as you stick to the requirements in the e-mail brief.

The industry, in one minute

Word What it means
Nursery A childcare setting for children under 5. One building, with children grouped by age into rooms
Practitioner A member of staff who works with the children
Nursery manager Runs the site. Hires the staff, and covers a room when somebody calls in sick
Group A company that owns several nurseries. Some own 3, some own 300
Ratios The law sets how many adults per child. 1 adult to 3 babies in England
Level 3 The standard childcare qualification. A room needs a set share of qualified staff

Ratios are the whole problem. One practitioner short is not slightly worse — it is legally not allowed to open the room. The manager pays an agency several hundred pounds for a temporary body, or turns families away. Turnover in the sector is high, so this happens constantly.

Problem

Staff hiring is one part of running a nursery that Famly doesn't cover.

Famly runs the nursery: attendance, child records, parent messaging, invoicing, and the schedule for the staff who already work there. Hiring is the part that happens somewhere else. The manager leaves Famly to advertise the role, collects applications in an inbox, and types the new hire back in by hand.

Nurseries keep asking us for one system. What they describe is a recruitment portal: one public page per nursery that shows its open positions, where a job seeker applies in one pass — and one place inside Famly where the manager sees every open position and every applicant against it.

Challenges

Hiring is the fourth job of a manager who is also covering the baby room at lunch.

What comes up What happens today
A position opens in the toddler room A paid job board, a Facebook group, or a card in the window
Somebody asks whether the nursery is hiring Nobody can point them anywhere
A practitioner wants to apply An email address on an advert, or a form to print
The manager needs to know if somebody is qualified Reads a CV and guesses
An advert goes out and eleven applications arrive at once An inbox. The strong ones take another job first
One person applies to three sites in the same group Three separate conversations, or three silences
The manager wants to reply to everybody Does not
Somebody is hired The details get typed into Famly by hand

User outcomes

The nursery has one address it can send anybody to, showing what is open right now. The job seeker applies in one pass from a phone, and knows where the application stands. The manager sees every position and every applicant in one place, and can act on the same row.

We have not agreed how we would know this worked. We have an instinct that the speed of the first reply matters more than anything about the shortlist — and we are not certain of that.

What we are asking you

One fact that is true. Everything else is yours to decide.

  • Famly holds a staff record for every person who works at a nursery. It carries the rota, the qualification, the room, and the permission to open the app.

Two questions:

  1. The portal. The nursery needs somewhere public to show which positions are open, and the job seeker needs to be able to apply from it. That person has no Famly account, no reason to trust us, and may be on a phone during a break. What do they touch, and what are they in your system?
  2. The manager's side. What does the manager open, and what is the model that carries a position from open to filled, and an application from arrival to hired, rejected or gone quiet?

Handing it back

  • Fork this repository and commit all relevant files.
  • Document your process, product decisions and other things you find relevant in the README.md of your fork
  • Send us a link to your fork, and let us know roughly how much time you spent
