Conference Room Accessories

A well-equipped conference room is more than a table and a set of chairs. The furniture, storage, technology, acoustic treatment and presentation tools in the room all contribute to how effectively the space functions. A thoughtfully designed conference room makes it easier to conduct meetings, share information, collaborate with remote participants and keep the space organized between meetings.

The accessories and supporting furniture used in a conference room will vary depending on its size and purpose. A small meeting room may need little more than a display, whiteboard and power access, while a large executive conference room may incorporate an entire storage wall, integrated technology and acoustic treatments.

Conference Room Storage and Furniture

Storage furniture can serve both a functional and visual purpose in a conference room. In larger rooms, it is common to create a furnished wall at the far end of the conference table. This provides storage while also establishing a natural focal point for the room.

  • Credenzas: A conference room credenza is normally positioned at the far end of the conference table. It provides enclosed storage and a convenient surface for meeting materials, refreshments, presentation equipment or decorative items.
  • Storage Cabinets: Tall storage cabinets can be positioned to the left and right of a credenza or placed independently in a corner of the conference room. Cabinets with hutches provide additional enclosed and open storage while making use of vertical wall space.
  • Bookcases: Bookcases are often positioned to the left and right of a credenza when tall storage cabinets are not being used. In addition to storing books and reference materials, their shelves provide space for awards, artwork and other decor.
  • Storage Walls: A storage wall combines several matching pieces to create a seamless furnished end of the conference room. A typical configuration includes a credenza with two matching storage cabinets and hutches. A television or display can then be wall-mounted in the open space between the hutches. This arrangement combines storage, presentation technology and visual design into a single area. [1]

Power and Data Modules

Power and data access is one of the most useful additions to a modern conference table. Power modules or connectivity hubs are commonly installed near the center of the table so meeting participants do not need to run cords across the room.

Depending on the module, connections may include AC electrical outlets, USB charging ports, Ethernet data connections and HDMI. An HDMI connection can be routed from the conference table to a television or other display mounted at the end of the room, allowing someone to connect a laptop directly from their seat.

Integrated table connectivity also helps with cable management. Instead of extension cords and loose cables crossing the floor or table, power and data connections can be incorporated into the conference table and routed underneath it.

TVs and Presentation Displays

A large wall-mounted television is a practical presentation tool for many conference rooms. It can be used for presentations, screen sharing, video conferencing and displaying other visual information. When the conference table includes an HDMI connection routed to the television, users can connect a laptop without needing to access the back of the display.

Interactive displays and smartboards provide additional capabilities. These can be useful for demonstrations, collaborative presentations, annotation and other interactive work. However, not every conference room requires an interactive display. For many businesses, a wall-mounted television connected to the conference table provides much of the everyday functionality needed for laptop presentations at a lower level of complexity.

Whiteboards

Whiteboards remain useful even in conference rooms equipped with digital presentation technology. They provide an immediate place to sketch ideas, work through problems, take notes and brainstorm without requiring anyone to connect a device.

Traditional whiteboards work well, but glass whiteboards can provide a cleaner, more permanent appearance that is particularly well suited to finished conference rooms. A whiteboard can be mounted at one end of the conference table or installed horizontally along a side wall. A long side wall can accommodate a very large writing surface, which can be useful for planning sessions and collaborative meetings.

Acoustic Wall Treatment

Conference rooms can become difficult to use when hard walls, glass, flooring and furniture allow sound to reflect throughout the space. Subtle acoustic wall treatments can substantially improve the room's acoustics, particularly in office environments where clear conversation and video conferencing are important.

Acoustic panels are available in numerous colors, shapes and configurations. They can be mounted directly to the wall as individual design elements or installed across most or all of a wall. This allows acoustic treatment to become part of the conference room's visual design rather than appearing strictly functional.

Conference Room Decor

Decor can help a conference room feel finished without interfering with its primary purpose. Storage cabinet hutches and bookcases provide natural locations for decorative objects, awards, plants, books and other items. Keeping most decor around the perimeter of the room also leaves the conference table clear for meetings and work.

Decorative acoustic panels can serve a dual purpose by introducing color or patterns while helping control sound within the room.

Video Conferencing Equipment

Conference rooms used for remote or hybrid meetings may require cameras, microphones and speakers in addition to a television or interactive display. The appropriate equipment depends heavily on room size. A small meeting room may work well with a single conferencing device, while a long conference table may require multiple microphones or a more sophisticated audio system so participants at both ends can be heard clearly.

Good room acoustics become particularly important when microphones are involved. Reducing excessive reflections and echo can improve both the experience of people in the room and the audio received by remote participants.

Conference Room Seating

Comfortable conference chairs are especially important in rooms used for longer meetings. Chairs should provide adequate support while allowing attendees to move naturally around the table. Useful features can include adjustable seat height, lumbar support, casters and swivel movement.

Fixed arms are generally preferable to height-adjustable arms in a conference room. Adjustable arms give attendees another control to manipulate during a meeting and can become an unnecessary distraction as people repeatedly change their position. Fixed arms provide a consistent seating position and are better suited to a shared meeting environment where chairs are used by many different people throughout the day.

The size of the chairs should also be considered when planning the room. Oversized seating can reduce circulation space and limit the number of people who can comfortably use the conference table.

Cable Management

Power, data, video conferencing and presentation equipment can introduce a considerable number of cables into a conference room. Cable trays, table channels, floor channels and other cable-management systems can keep these connections organized and reduce visible wiring.

Whenever possible, technology should be planned alongside the conference table rather than added afterward. Locating power and data modules near the center of the table and determining how they will connect to displays, networks and electrical service can result in a much cleaner installation.

Other Useful Conference Room Accessories

  • Conference Phone Systems: Dedicated conference phones can provide reliable audio for rooms that frequently host calls. Features such as multiple microphones and noise cancellation can be particularly useful in larger spaces.
  • Wireless Presentation Controls: A presentation remote allows a presenter to advance slides without remaining next to a laptop.
  • Room Signage: Conference room signage can identify the room, its capacity or its intended purpose. Digital scheduling displays can also show availability and upcoming reservations.
  • Refreshment Stations: Larger conference rooms may include a coffee maker, water dispenser, mini refrigerator or other refreshment equipment. A credenza can provide a convenient location for these items while keeping them away from the main meeting surface.

Planning a Complete Conference Room

The most effective conference rooms are planned as complete spaces rather than collections of individual accessories. The conference table establishes the center of the room, while storage furniture, displays, whiteboards and acoustic treatments make use of the surrounding walls. Power and data modules connect the table to the room's technology, and appropriate seating makes the space comfortable for the people using it.

A common larger conference room configuration places a credenza or complete storage wall at the far end of the table, with a television mounted above the credenza or between storage hutches. Power, USB, data and HDMI connections can then be installed at the conference table, creating a direct connection between meeting participants and the presentation equipment at the end of the room.

There is no single set of accessories that every conference room needs. The best combination depends on how the room will actually be used, but planning storage, technology, acoustics, presentation surfaces and furniture together can create a cleaner and substantially more functional meeting environment.
