When prioritizing tasks, I like using the 4 Ds approach. DO, DELAY, DELEGATE, DELETE.
[DO] For quick tasks (5-10 minutes), I get them done right away. This includes urgent tasks as well.
[DELAY] For important but less urgent ones, I schedule them for later within the day.
[DELEGATE] When the task is better suited for someone else, I delegate it to the appropriate person.
[DELETE] And if something isn’t adding value, I cut it out completely.
This method helps me stay focused on the important stuff without getting overwhelmed, and it’s a simple way to boost my productivity. It helps to plan this weekly so you know when to slot in last minute tasks given to you!

Begin with the projects that have the greatest influence on your goals and the most pressing deadlines. Use the Eisenhower Matrix to divide work into four categories: urgent and important, important but not urgent, urgent but not important, and neither. Prioritise urgent and vital jobs first, followed by important but non-urgent chores. This method guarantees that vital jobs are completed quickly, hence maintaining productivity and efficiency.

Next, I think about the impact of each task; I focus on what will make the biggest difference. I also consider the effort versus the reward—sometimes a quick win can really boost motivation. It’s essential that the tasks align with my long-term goals, too. Finally, I pay attention to my energy levels. If I’m feeling sharp, I tackle the tougher tasks; if not, I save the easier ones for when I’m not as focused. This approach helps me decide where to dive in!

In my experience, one should eat the frog early in the day by focusing on handling one urgent & important task per day. They should spend their most productive hours on this task and minimize multitasking by avoiding small reactive tasks like replies to email & filing reports. Although these tasks are urgent on most times, they can wait. This allows them to focus on the frog. Also, delegating some work to others to aid free up time to focus on more important tasks & reduce their workload. Additionally, remember to take regular breaks to stay focused and avoid burnout. Time tracking tools such as Time Analytics & Clockify can aid them identify how much time they have spent on each task & trace areas where they can improve their productivity.
